MedicsCloud Mobile ("we", "our", "us", or "the App") is a secure, provider-only mobile application that is part of the MedicsCloud healthcare platform developed and maintained by Advanced Data Systems Corporation (ADSC).

The application is designed exclusively for authorized healthcare providers and clinical staff to securely access appointment schedules, patient information, medication management, billing, clinical documentation, and other authorized healthcare workflows.

This Privacy Policy explains how information is accessed, processed, used, and protected while using MedicsCloud Mobile. By accessing or using the application, you acknowledge and agree to the practices described in this Privacy Policy.

1. Scope of this Privacy Policy

MedicsCloud Mobile is intended solely for use by authorized healthcare professionals, physicians, clinical staff, and healthcare organizations using the MedicsCloud platform.

The application is not intended for use by patients or the general public.

2. Authorized Access

Access to MedicsCloud Mobile is restricted to authorized users who have been provided credentials by their healthcare organization.

Users authenticate using:

• Practice Code
• Username
• Password

After successful authentication, users may select an authorized provider and appointment date to securely access appointment schedules and patient records based on their assigned permissions.

3. Information We Access

Depending on the user's role and permissions, MedicsCloud Mobile may securely access:

• User profile information
• Appointment schedules
• Patient demographic information
• Patient medical information
• Medication lists and medication orders
• Patient clinical documentation
• Patient images and uploaded photographs
• Billing information including ICD and CPT codes
• Email communication related to patient care
• Other healthcare information necessary for authorized clinical workflows

Only information that the authenticated user is authorized to access will be available through the application.

4. How We Use Information

Information accessed through MedicsCloud Mobile is used solely for healthcare operations and clinical purposes, including:

• Authenticating authorized users
• Displaying provider appointment schedules
• Viewing patient records
• Uploading patient images
• Managing medication orders
• Recording or updating ICD and CPT billing information
• Sending authorized emails related to patient care
• Supporting clinical workflows and patient care

MedicsCloud Mobile does not use healthcare information for advertising, marketing, or behavioral profiling.

5. Image Uploads

Authorized users may capture or upload patient photographs and clinical images where permitted by their healthcare organization.

Images are securely transmitted and stored within the MedicsCloud platform and are used solely for clinical documentation and patient care.

6. Email Communications

The application allows authorized users to send emails when required for healthcare operations or patient-related communications.

Email functionality is available only to authenticated users with the appropriate permissions.

7. Permissions Used by the Application

Depending on your mobile device and operating system, MedicsCloud Mobile may request the following permissions:

• Camera – To capture and upload patient photographs and clinical images.
• Photos / Media / Storage – To select existing images for upload into patient records.
• Internet Access – Required for secure communication with MedicsCloud servers.

These permissions are requested solely to support the application's intended functionality.

8. Information Sharing

Advanced Data Systems Corporation does not sell, rent, or trade patient information or personal information collected through MedicsCloud Mobile.

Information may only be shared:

• With the healthcare organization using the MedicsCloud platform.
• With authorized users who have appropriate access permissions.
• To comply with applicable laws, regulations, court orders, or legal obligations.
• When necessary to protect the security, integrity, or lawful operation of the MedicsCloud platform.

9. Data Security

Advanced Data Systems Corporation employs industry-standard administrative, technical, and physical safeguards designed to protect healthcare information, including:

• Secure authentication
• Encrypted data transmission
• Role-based access controls
• Secure server infrastructure
• Session management
• System monitoring and audit logging where applicable

Patient information remains within the MedicsCloud platform and associated healthcare systems.

10. Data Retention

Medical records, billing information, operational records, and audit logs are retained according to:

• Healthcare organization policies
• Applicable federal, state, and local regulations
• Contractual obligations
• Healthcare record retention requirements

MedicsCloud Mobile does not independently determine retention periods.

11. User Responsibilities

Users are responsible for:

• Maintaining the confidentiality of their login credentials.
• Preventing unauthorized access to their mobile device.
• Logging out when finished using the application.
• Using the application only for authorized healthcare purposes.
• Complying with organizational policies and applicable healthcare regulations.

12. Children's Privacy

MedicsCloud Mobile is intended exclusively for healthcare providers and authorized healthcare personnel. It is not designed for or intended to be used by children.

13. Changes to this Privacy Policy

Advanced Data Systems Corporation reserves the right to update this Privacy Policy at any time. Any revisions will become effective upon posting the updated Privacy Policy with a revised effective date.

14. Data Deletion Requests

Patient records and user information accessed through MedicsCloud Mobile are maintained within the MedicsCloud platform under the control of the applicable healthcare organization.

Requests regarding account information, corrections, or deletion should generally be directed to the user's healthcare organization or system administrator.

Where appropriate, users may also contact ADSC Software Support.
